Privacy Policy

This Privacy Policy explains how SMILEMORE MEDIA PTY LTD (ABN 57 692 000 847, “SmileMore Media”, “we”, “us”) handles information in connection with SmileMore Publisher (the “Application”), an internal tool we use to publish localised video content to YouTube channels operated on behalf of our partners.
The Application is not a public service. It has no public sign-up, no end-user accounts, and is accessible only to authorised SmileMore Media employees. It does not collect information from viewers or members of the public.
1. Who this policy covers
This policy applies to the SmileMore Media employees who sign in to the Application, and to the partner-owned YouTube channels we are authorised to manage. Members of the public who watch videos on those channels are governed by YouTube’s own privacy terms, not this policy — we do not receive their personal information.
2. Information we access
2.1 Google account authorisation
Authorised employees sign in with a Google account that our partners have granted manager or owner access to their YouTube channels. When they authorise the Application, we receive and store an OAuth 2.0 access token and refresh token. We never see, receive or store Google account passwords.
2.2 Content and metadata we handle
All material processed by the Application is content prepared by our own editors and translators for publication:
- Video files, thumbnails and audio tracks
- Subtitle files and localised titles, descriptions and tags
- Channel and video identifiers, and publishing status, needed to place each item correctly
2.3 What we do not access
- Viewer identities, comments, watch history or any end-user personal data
- Contact lists, email, files or any Google service beyond YouTube
- Payment, revenue or AdSense information
3. Google API Services and Limited Use
The Application’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use YouTube API Services; by using the Application, employees are also bound by the YouTube Terms of Service and the Google Privacy Policy.

We request no scopes beyond those needed for these tasks. Data obtained through these scopes is used only to publish our partners’ content. It is never sold, never used for advertising or profiling, and never transferred to third parties except as described in section 5.
4. How we store and protect information
- OAuth tokens are stored encrypted on servers we control and are accessible only to authorised staff.
- Video and subtitle files are held on our own infrastructure while a release is in progress, then removed on a routine schedule.
- Access to the Application is limited to named employees, and all accounts used with it are protected by two-factor authentication.
No system is completely secure, but we take reasonable technical and organisational measures appropriate to the nature of this data.
5. Sharing
We do not sell or rent any information. We share it only:
- with Google/YouTube, as necessary to perform the publishing actions described above;
- with the partner who owns a given channel, in relation to that channel; and
- where required by applicable law.
6. Retention and deletion
OAuth tokens are retained only while an employee’s access is current, and are revoked when they leave or when a partner relationship ends. Media files are deleted from our systems on a routine schedule once a release is complete.
Access granted to the Application can be revoked at any time from the Google Account permissions page. Revoking access immediately ends the Application’s ability to act on that account. To request deletion of data we hold, write to contact@smilemore.media.
7. International transfers
SmileMore Media operates internationally, and information may be processed on servers located outside Australia. Where this occurs, we take reasonable steps to ensure the information remains protected in a manner consistent with this policy.
8. Children
The Application is a workplace tool for our employees and is not directed to children. We do not knowingly collect information from children.
9. Changes to this policy
We may update this policy from time to time. The revision date at the top of this page will be updated when we do, and material changes will be communicated to affected partners.
